This notice sets out how we will process your personal data, and your rights for when you apply for a job role within the AI Safety Institute (AISI) Research Unit. It is made under Articles 13 and/or 14 of the UK General Data Protection Regulation (UK GDPR).
AISI is a directorate of the Department for Science, Innovation and Technology (DSIT). For UK GDPR purposes, DSIT is the Data Controller for the personal data processed as part of the recruitment.

The AISI Research Unit recruitment platform is provided by Greenhouse Software, Inc. (Greenhouse). For UK GDPR purposes, Greenhouse is strictly a Data Processor, acting under the instruction of DSIT, the Controller. Greenhouse are not involved in assessing candidate suitability, they only provide the platform for AISI to manage the application process.

Applications are submitted directly to the Greenhouse platform or via the Civil Service Jobs platform and then transferred to the Greenhouse platform.
Despite which platform you apply via, all successful applications will be progressed on the Civil Service Jobs platform where relevant post job offer procedures will be managed. This means that those successful applicants who apply directly through the Greenhouse platform will accept their job offers via the Civil Service Jobs platform. For these applicants, a Civil Service Jobs Account will be made on behalf of them by the DSIT Talent Team for the purpose of offering you the job.

As part of DSIT IT infrastructure, your personal data may be stored on systems provided by our data processors - Microsoft and Amazon Web Services. This does not mean we actively share your personal data with these entities; rather, they are technical service providers who host infrastructure supporting our IT systems.
We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for.
For documents supporting recruitment, application and sifting the retention period is 6 years. This is in line with the standard civil service recruitment process.
If you are unsuccessful, personally identifiable data, including your name, email address and phone number, will be retained for 1 year after your most recent application. This is to enable us to consider you for future applicable roles and invite you to apply.
If however, you don’t wish to be contacted about future possible roles and you don’t wish for us to retain your personal data for 1 year, you can email the Recruitment team at: aisi.talentteam_DL@dsit.gov.uk and request your contact details are deleted and you will not be contacted in the future.
Our use of data processors means that personal data may be processed outside of the UK, however it will remain within the European Economic Area and receive the same level of data protection as it does in the UK, through the safeguard of Adequacy Decisions.
You have the right to request information about how your personal data are processed, and to request a copy of that personal data.
You have the right to request that any inaccuracies in your personal data are rectified without delay.
You have the right to request that any incomplete personal data are completed, including by means of a supplementary statement.
You have the right to request that your personal data are erased if there is no longer a justification for them to be processed.
